CRM setup and consulting for small businesses
We are a CRM consultant for owners who run the business out of inboxes, spreadsheets and memory. We start with a paid operations audit, choose the simplest system that fits, set it up, and keep it running.
Book a callThe problem.
Customers come in through email, text, a web form and a phone call. Jobs live in a spreadsheet, or in your head. Nobody can say what was promised to whom, who is waiting on a quote, or which customer has not heard from you in a month.
There is no record of your customers or your jobs, so every follow-up depends on someone remembering. That works at five customers. It stops working well before fifty.
How we work.
- 01 · Audit
A paid operations audit
Our first paid engagement, after a free 15-minute intro call. We map how your business runs today: who does what, where the work is manual, and which business process lives only in someone's head. You get written findings and a scoped plan.
- 02 · Choose
Pick the simplest system
Often one CRM covers it. Sometimes it is a shared spreadsheet with better habits. We recommend the smallest thing that does the job, even when that is less work for us.
- 03 · Set up
Setup, migration and training
We configure the CRM around your real process, move your existing customers and jobs into it, and train the people who will use it every day.
- 04 · Run
Keep it running
Systems drift when nobody owns them. We stay on to handle updates, backups, fixes and the small changes that keep the CRM in daily use.
The proof.
We run our own business on a self-hosted CRM (Twenty). Every client and conversation lives there, and we use it every day. We set up for you what we rely on ourselves.
Who it is for.
- Service businesses that run jobs, quotes and follow-ups out of email and text threads
- Owners who are the only place customer history is stored
- Teams paying for several tools that do not talk to each other
- Businesses that tried a CRM once, never got it adopted, and went back to spreadsheets
Questions.
Do we need AI for this?
Sometimes. Most small businesses lose time to work that was never written down, and often the fix is a CRM or one well-configured system that the team actually uses. Other times AI genuinely helps. We will tell you which, and say so plainly when it would not.
Can we keep our existing data?
Yes. Data migration is part of the setup. We bring over customers, contacts and job history from spreadsheets, inboxes or your current tool, clean up obvious duplicates, and check the result with you before anyone relies on it.
Should our CRM be self-hosted or SaaS?
It depends on who will look after it. A hosted SaaS CRM is simpler to start. A self-hosted CRM gives you control of your data and no per-seat fees, but someone has to run it. We run our own on self-hosted Twenty, and we can do either for you, including the running part.
What is an operations audit?
It is our first paid engagement, not a free call. A short, structured look at how your business actually works: where jobs, customers and money move, and where that movement is manual or unrecorded. You get written findings and a scoped plan that recommends the simplest system to fix the gaps, which is often a CRM. The free 15-minute intro call before it is only a fit check.
Will my team actually use it?
Adoption is the main way CRM projects fail, so we treat it as part of the work. We configure the CRM around your process rather than the other way around, train the people using it, and stay available after launch.
Who does the work?
Two co-founders: Julissa Cotillo, a software and AI engineer, and Alan Campbell, a fractional CTO. You talk to the people doing the work, from the first call through to keeping it running.
Start with a conversation.
Tell us how the work moves through your business today. We will say plainly whether a CRM is the fix.
